CloudColleague ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using CloudColleague, you consent to the practices described in this policy.

2. What Personal Information We Collect

2.4 Sensitive Information

The Australian Privacy Principles define sensitive information as information about racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal record, and health information.

We do not actively collect sensitive information. However, resumes may contain such information if you choose to include it. By providing this information, you consent to its collection, use, and disclosure as described in this policy.

3. How We Collect Your Information

We collect personal information:

  • Directly from you when you register, create listings, apply for work, communicate, or contact support
  • Automatically through your use of the Platform
  • From third parties, such as Stripe for transaction data
  • Through recorded features, including Google Meet video interviews and transcripts

We share data with trusted third parties who assist in operating the Platform:

5.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, user information may be transferred. We will notify you of any such change.

6. Overseas Disclosure

Some of our service providers may be located outside Australia:

Before disclosing personal information overseas, we take reasonable steps to ensure that the overseas recipient complies with the Australian Privacy Principles or is subject to a substantially similar privacy scheme. By using CloudColleague, you consent to such overseas disclosures.

7. Data Security

We implement industry-standard security measures:

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

If we become aware of a data breach that is likely to result in serious harm to affected individuals, we will notify the OAIC and affected individuals as required by the Notifiable Data Breaches (NDB) scheme under the Privacy Act.

8. Data Retention

We retain your information for as long as your account is active or as needed to provide services:

After deletion, residual copies may remain in backup systems for a limited period.

10. AI Features (Planned)

CloudColleague may introduce AI-powered features including:

  • Candidate ranking and scoring
  • Job matching recommendations
  • Interview insights
  • Automated screening

When these features are introduced:

  • You will be notified before they affect your experience
  • You may opt out where technically feasible
  • AI-generated outputs are for assistance only and do not constitute final hiring or engagement decisions
  • Decisions about hiring, work, and payments remain solely between Clients and Professionals

11. Video Interviews and Recordings

When you use video interview features via Google Meet:

  • Recordings are stored securely and accessible to the parties involved
  • Transcripts may be generated automatically
  • Recordings may be used for dispute resolution
  • Clients are responsible for obtaining any additional consent required for their specific industry or role
  • Recordings are retained in accordance with our retention schedule
  • Google Meet’s own terms and privacy policy also apply to the use of their service

13. Children's Privacy

CloudColleague is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us to have it removed.

14. Changes to This Privacy Policy

We may update this Privacy Policy periodically. Changes will be posted with a revised “Last Updated” date. Material changes will be notified via email or platform notification.
